Administrative Assistant Job Description
Position: Administrative Assistant(AA)
Supervised By: Registered Manager/Director of Operations
Qualifications:
- Ability to meet liability insurance criteria.
- Eighteen years of age or older and eligible to work in the UK.
- Exceptional organisational skills.
- Demonstrated ability to effectively communicate and interact with clients, care workers, co-workers, and all supervisors.
- Minimum 4 GCE ‘O’ Levels, with Grade C or above, strongly recommended.
- At lease two years previous relevant administrative experience, desired.
- Ability to perform multiple tasks under strict deadlines.
Routine Duties:
- Telephone and reception duties. Including working at front desk as primary receptionist and handling incoming telephone calls.
- Opening and distributing incoming post (except where addressed to a person). Handling, affixing correct postage and posting all outgoing post.
- Perform weekly inventory assessments of all office supplies, forms and paperwork. AA will take ownership of this responsibility to ensure that all office supplies, forms and paperwork are available when needed. This will include refreshments and household items.
- Maintain, update and organise client and Care Worker files, including any ‘thinning’ exercises at the discretion and direction of the Administrative Coordinator/Scheduler.
- Coordinate and initiate the Quality Assurance programme, including the filing and updating of information in employee and client files and the updating of the company software package.
- Compilation of employee orientation packs, staff application forms, client intake and case opening pack and marketing wallets, brochures and flyers for marketing and sales staff.
- Processing and ordering of application material for field staff.
- Data entry relevant to contact management, notes and activities, scheduling, sales and human resources databases.
- Assist with special project coordination at the discretion of the Registered Manager/Director of Operations.
